Writing an application letter requires some skills. Everything has to be professional. Your potential employer will want to see your abilities and talents in your application letter before seeing what you can present.

(a) Writing guide

When writing an application it is totally different from this other normal emails from friends. The hiring managers expect you to deliver a well presented application letter. You need to be very careful and adhere to good spacing, length guidelines and presentation.

(b) Prepare and organize your thought

First of all you should be aware of what the employer is looking for, be sure to highlight the relevant skills that will convince the employer considering the fact that many other candidates are eyeing the job offer too.

(c) Length

The length of the letter should at least fit a page, do not exceed a page.

Format of an application letter

(a) Heading

In this part of the letter you must include the contacts of both yours and that of your employer (whom you are writing the letter to).

The contact should contain your name, email, phone number, postal address and the date. Also add the reverence below the contact information.

(b) Introduction

On this part of the letter, it should have a salutation like Dear Ms./Mr. which is followed by the persons name.

Use the term ‘To Whom It May Concern’ if you are not sure who is going to receive the letter. Never use terms like hello or hey you should rather use more professional words.

(c) Body

This part of the letter is the most important part since it has most weight in your application letter.

At this point you will need to start by mentioning the job that you are trained and qualified in and where you saw or heard the vacancy from. You need to convince the hiring manager that you are the best person for that position. You’ll also have to mention your accomplishments in the particular field. Most employers love to hear accomplishments that you’ve made so as to be sure you’ll add value to their company and bring in more success.

(d) Conclusion

Here you need to be grateful to your employer for taking time to go through your application letter. The conclusion message is always short, maybe three to four sentences.

(e) Signature

At this very last part of the letter close with terms like ‘yours sincerely or yours faithful “.

Complete the letter with a handwritten signature accompanied by your name, also include your contact information here.
